• Provide daily back-office and customer service support to the Sales Team, acting as a key point of contact for customers regarding orders, deliveries, and documentation:


• Review, enter and process customer orders in SAP, ensuring accuracy and compliance with internal procedures. Make necessary adjustments to optimize picking costs when applicable:


• Monitor and follow up on order status, deliveries and potential delays, coordinating with internal departments to ensure timely and accurate fulfillment in line with agreed conditions and regulations:


• Manage invoicing processes, including invoice review and coordination with finance;


• Follow up on payments, outstanding balances and customer queries related to billing;


• Handle customer incidents and claims, providing timely solutions and coordinating with internal departments;


• Maintain accurate and updated customer and order records in SAP and CRM systems;


• Support any other customer-related or administrative tasks required to ensure service excellence;


• Act as a key point of contact for Sales Team and customers regarding orders, deliveries and documentation;


• Analyze and propose process improvements to reduce lead time from order entry to dispatch;


• Collaborate with Sales Managers and International Controlling in preparing the annual sales budget and reviewing MYE;


• Lead, together with the Planning Department, monthly order follow-up meetings based on sales representatives planning.
  Perform administrative tasks such as:


• Sending samples to distributors or potential clients, coordinating logistics and shipments;


• Registering new customers in SAP;


• Managing requests received through the corporate website;


• Processing and controlling invoice payments (including creating purchase requests in SAP);


• Ensure compliance with the Company’s Code of Ethics, policies, procedures, and applicable regulations;


• Carry out additional tasks as requested by the manager, either occasionally or permanently, due to organizational or system changes.

• Superior Grade in International Trade / Commercial Management and Marketing;


• English level: B2:


• Advanced level in Microsoft Office (Word, Excel, PowerPoint);


• Knowledge of SAP, modules SD, MM, and FI;


• Native Portuguese


• Previous experience in Back Office, Customer Service or Sales Administration roles;


• Experience working with SAP is required;


• Strong organizational skills and attention to detail;


• Customer-oriented mindset with problem-solving abilities;


• Ability to work cross-functionally with sales, logistics and finance teams.
