Working closely with the Commercial Coordinator, the Commercial Assistant will be responsible for creating an organized and efficient back office environment for the Sales & Marketing Teams as well as
managing the overall smooth running of the office. They will also be responsible for the agency's ‘Front of House’ experience and as the first point of contact for potential clients, will be an excellent ambassador for the brand.
Your responsibilities will be diverse, but will span three main functions and always focus on supporting the smooth running of the team:
1. Office Experience
The first point of contact for all general enquiries (on the phone and over email);
Welcoming and hosting clients and partners in the office;
Ensuring attention to detail and a seamless visitor experience (meeting room setup, teas and coffees etc);
Management of office including ordering supplies and stationary;
Scheduling and coordination of team meetings.
2. Commercial Administration
Assisting with entering property details into databases and managing customer CRM databases; Managing updates on Sales Team whatsapp groups;
Assisting on preparing visits (keys, registrations, support to sales consultants);
Organizing Sales Team ‘Safaris’ to visit new developments;
Preparing presentations or documents for meetings and appointments;
Assisting with answering enquiries from customers and business partners, customer pre-qualification;
General support for the commercial team and assisting with other ad-hoc administrative and project requirements as needed.
3. Marketing Support
Assisting the Marketing Manager on the creation of presentations using branded templates;
Assisting with scheduling shoots;
Assisting with publishing listings online / on all portals;
Assisting with delivering Listing Performance Reports.
