Randstad Professionals is the Business Line of Randstad Group focused on the recruitment of Middle & Top Management. 
Our client is a company that works in the sector of informatics and technology and its looking for a Administrative Assistant (m/f).

Responsibilities

-Answer and direct phone calls;

-Organize and schedule appointments;

- Plan and support meetings/business lunch´s or other Company Events, inhouse
or off-site;

-Undertake activities ensuring general office conditions;

-Write and distribute email, letters and forms;

-Assist in the preparation of regularly scheduled reports/task´s;

-Develop and maintain a filing system;

-Order office supplies and research new deals and suppliers;

-Maintain updated contact lists and CV´s;

-Book travel arrangements;

-Submit and reconcile expense report´s;

-Provide general support to visitor´s;

-Act as the point of contact for internal and external clients;

-Liaise with executive and the administrative team to handle requests and
queries from managers or employees;

-Ensure bid and proposal documentation (docs in word and powerpoint) is
formatted, collated and presented in a professional manner;

-Assist with production of final bid documents and arrangements to supply
these documents to the customer within defined tender deadlines.

competências

Requirements

-Proven experience as an administrative assistant;

-Qualification as an Administrative assistant or Secretary (not mandatory);

-Proficiency in MS Office (namely: MS Excel, MS Word and MS PowerPoint);

-Working knowledge of office equipment, like printers or others;

-Excellent time management skills and the ability to prioritize work;

-Attention to detail and problem-solving skills;

-Excellent written and verbal communication skills (both in Portuguese and
English);

-Flexibility in terms of working schedule;

-Strong organizational skills with the ability to multi-task;

- Solid team spirit and sense of responsibility.
